This is a varied and hands-on role where you’ll play a key part in ensuring our systems, processes, and people stay compliant, informed, and supported.
About the Role
In this role, you’ll provide end-to-end administrative and coordination support across health and safety, training, and business operations. You’ll work closely with managers and teams to ensure our obligations are met, our data is accurate, and our people are set up for success.
Key Responsibilities:
Health & Safety Administration and Coordination
- Maintain and manage H&S data within our systems, ensuring accuracy and compliance
- Support the preparation of monthly and quarterly H&S reports
- Coordinate incident management processes, including tracking, reminders, and supporting investigators to close out actions
- Maintain H&S registers (hazardous substances, PPE, plant, vehicles, equipment)
- Organise and track equipment testing and compliance requirements
- Keep H&S documentation, procedures, and SharePoint systems up to date and accessible
- Support audits, regulatory requirements, and continuous improvement initiatives
- Coordinate H&S meetings, including preparing data, taking minutes, and tracking actions
- Assist with confidential record management
Training Administration & Coordination
- Coordinate regulatory and role-essential training across the business
- Manage the training schedule, bookings, and provider relationships
- Track training spend against budget and provide regular updates
- Maintain training records and ensure licences and certifications remain current
- Provide timely updates to managers on expiring or required training
- Support Safety Training Days and organise travel/accommodation where needed
- Assist with training staff in internal systems
Business & People Support
- Carry out site-wide administrative duties to support daily operations, including document management, filing, coordination of communications, and general office support
- Provide comprehensive administrative assistance across all teams, including data entry, scheduling, correspondence, and coordination of operational requirements
- Ensure administrative compliance with company processes, systems, and reporting requirements
- Provide general office and operational support to supervisors, managers, and site-based staff
- Deliver overarching administrative support across the site, ensuring consistent documentation standards and effective processes
- Support coordination between office and field teams through timely information flow and administration
- Manage reception and telephone systems professionally, including call handling and message coordination
- Provide excellent service to both internal and external stakeholders
- Support onboarding and inductions for employees and contractors
About You
- Highly organised with strong attention to detail
- Confident managing data, systems, and multiple priorities
- Strong communication skills and ability to work with a range of stakeholders
- Experience in administration (health & safety or training experience is an advantage)
- Proactive, reliable, and able to work both independently and as part of a team
